1. Controller
Ioannis Giaslanis, Smart AI Solutions, Husemannstr. 3a, 46240 Bottrop, Germany. Email: service@smart-ai-solutions.de. Telephone: +49 176 31064563.
2. Visiting the website
To deliver the website, your browser transmits technically necessary connection data. This may include IP address, time of access, requested page, and information about your browser and operating system. We use Microsoft Azure to provide the website. Processing serves operation, error analysis and protection against attacks. The legal basis is Article 6(1)(f) GDPR; our legitimate interest is an accessible, secure website.
We do not operate our own visitor database or create user profiles from these visits. Technical hosting logs are deleted according to the retention periods configured for the service.
3. Contact form and acknowledgement
When you write to us, we process the selected topic, your task, name and email address. Organisation and desired outcome are optional. Page context, time until submission and a hidden bot field may also be transmitted for classification and abuse prevention. Without the required details, we cannot classify and answer your enquiry.
The information is sent to our internal mailbox through an Azure Function. We use Microsoft Azure Communication Services Email for email delivery. You receive an automatic acknowledgement naming only the selected topic and not repeating your free-text description. Your details are not additionally stored in a marketing database or used for a newsletter.
For enquiries about a potential contract, the legal basis is Article 6(1)(b) GDPR. For other requests it is Article 6(1)(f) GDPR; our legitimate interest is handling your enquiry and preventing abuse. We delete messages from our mailbox when handling is complete and no statutory or contractual retention duties remain. Please do not send sensitive resident, health, staff or financial data through this form.
4. Website questions and AI answers
The guide can initially answer questions in the browser using published website content. If the AI-answer function is available and you ask a question, your question, the currently opened page and up to six previous messages in this conversation are transmitted to our Azure Function and its configured Microsoft Azure AI model. The answer relates to excerpts from current Smart AI Solutions pages. This does not send a contact enquiry; use only the contact form for that purpose.
Processing serves voluntarily requested information about our offering and navigation on the website. The legal basis is Article 6(1)(f) GDPR; our legitimate interest is clear, needs-based information about our services. We do not create a persistent conversation profile for the website assistant. Technical service logs may nevertheless arise and are subject to configured retention periods. Please do not enter names or sensitive resident, health, staff or financial data in questions. Further information about the Microsoft service used and possible international processing is under ‘Recipients and international processing’.
6. Links to social networks

7. Recipients and international processing
We use Microsoft as a service provider for hosting, the technical contact function, email delivery and, where applicable, AI answers. Contact enquiries also reach our responsible team. Technical services from a global provider may involve access or processing outside the European Economic Area; this cannot be categorically excluded. Where such a transfer occurs, the requirements of Articles 44 et seq. GDPR must be met. You can ask us for information about the safeguards specifically applicable.
8. Your rights
Subject to the statutory requirements, you can request access, rectification, erasure and restriction of processing. Where the relevant legal basis applies, you have a right to data portability. You may object to processing based on legitimate interests. To exercise your rights, contact us using the details above.
